Invoice entry
Every control, at the moment the invoice arrives.
Eight agents open the same invoice at once. Money-out, tax, receipt and authority checks all run before the entry stands — not in a batch at the close, when the money has already moved.
The same step, two ways
How it runs today
- The invoice lands in a shared mailbox, a portal, or someone's hand.
- Someone keys it. Someone else approves a total they cannot check against a contract they have not read.
- A sample gets audited weeks later. The rest was approved on trust.
- What leaked surfaces at the close, on a spreadsheet, after payment.
With the team on it
- The document is read on arrival, whichever channel it came through.
- Eight checks run in parallel on the same invoice, each against its own source of truth.
- Anything clean posts. Anything that fails stops with a named reason and the evidence attached.
- Nothing waits for the close, because nothing was deferred to it.
Who runs, and what they enforce
All of them, on the same vendor invoice, at the same time. Not a queue.
| Agent | What it enforces |
|---|---|
| Duplicate Agent | No earlier copy of this invoice |
| Pricing Agent | Price matches the contract and the PO |
| 3-way match Agent | PO, GRN and invoice agree |
| GST Agent | Vendor has filed before credit is claimed |
| TDS Agent | Right section, right rate |
| PAN Agent | Vendor PAN active and linked |
| MSME Agent | Small-vendor clock started |
| DOA Agent | Inside the approval limit |
Agents without a link yet are part of the team but do not have a page written up.
What lands in your ERP
A vendor invoice entered against its PO and GRN, taxed correctly, authorised inside the delegation, with every check that ran recorded against it.
Entered clean
The stamp on a vendor invoice that cleared this step. It means every check ran and passed — not that a sample did, and not that it will be reviewed later.
